Flat per site.
Staff always free.
No per-employee fees, no clock-in add-on. £10 a month covers a single site with unlimited staff: hiring never moves the bill. Open another venue and it steps up by £8, not per head. One small site is free.

Why one price
Per-seat pricing punishes you for growing
Most rota tools charge per user, and several charge again for the time clock, so taking on a Saturday assistant quietly bumps your software bill. We think that's backwards. WagePilot never charges per head, so you can hire a Saturday assistant or run a busy summer without watching a meter: the price only moves if you open another site.
The maths that matters: one over-staffed shift a week, caught by the live cost board, can save more in a year than WagePilot costs in a decade.
Try the savings calculator| Your team | Typical per-seat tool | WagePilot |
|---|---|---|
| 5 staff | ~£20/mo | Free |
| 10 staff | ~£40/mo | £10/mo |
| 25 staff | ~£100/mo | £10/mo |
| 50 staff | ~£200/mo | £18/mo |
Per-seat figures assume a typical ~£4/user/month all-in rate (many tools sit £3–£6/user). Indicative, for illustration.
Flat vs per-seat
How a flat price compares
An honest look at what a clocking-in team of ten typically pays. Some rivals are genuinely free at very small sizes; flat pricing wins once you'd be paying per seat.
| Tool | Pricing model | Team of 10 | Notes |
|---|---|---|---|
| WagePilot | Flat per site, staff free | £10 | Flat £10/month for one site: unlimited staff, every feature, clock-in included. Adding people never costs more; the price only moves if you open another venue (and one small site is free). |
| Deputy | Per user + £20 UK minimum | from £20 | Bills UK customers in GBP, but a £20/month minimum spend means even small teams hit a floor, then it climbs per user as you hire. |
| RotaCloud | Per-employee band + add-on | ~£25+ | UK-built and fair, but geofenced clock-in is a paid add-on and the price steps up through employee bands as you grow. |
| When I Work | Per user + clock-in add-on | ~£31 | US-first scheduling priced per user, with the time clock as a paid add-on on top (roughly £3–£4 per user all-in). |
| Planday (Xero) | Per user, 5-user minimum | ~£30 | GBP-native and Xero-owned, but per-user with minimums. A clocking-in team of 10 typically starts around £30/mo. |
| Connecteam | Free ≤10, then per hub | free ≤10 | Genuinely free up to 10 users, then a per-hub plan as you grow, a different bet, with no UK holiday or payroll-export focus. |
Indicative entry-level prices checked against each provider's public pricing pages, June 2026. Pricing and tiers change. Always check current figures. We compare on pricing model (flat vs per-seat), not a "cheapest" claim.
