  • Casuals cost nothing extra. You are never charged per head, so scaling a crew up for a big event never moves the bill.
  • QR clock-in at any venue. A printable QR at the venue clocks the crew in on the day, wherever the event is.
  • Labour cost per event. See the hours and cost going into each event so your quotes actually hold their margin.

The bits that make shift work hard

The same leaks show up week after week — and most of them only surface on the payroll run, long after you could have done anything about it. Here's where the hours and the money usually slip.

01

Per-seat pricing kills casual crews

When every event needs different casuals, per-user software is unworkable.

02

No fixed venue to geofence

Crews work a different site every event, so a fixed clock-in point doesn’t fit.

03

Event margins are guesswork

Hard to see the true labour cost of an event until well after it’s over.

How WagePilot helps

The same building blocks — rota, clock-in, audited timesheets — tuned to the way Events & catering actually run.

Hire anyone you like. The bill never moves

No per-head fees means you can grow the team without watching a meter: one site stays at £29 whether you're 3 people or 25. Open another venue and it's a flat £29 more, never per person.

What you'd pay as your team grows: a typical per-seat tool vs WagePilot's flat price
Your team Typical per-seat tool WagePilot
5 staff ~£20/mo Free · 1 site
25 staff ~£100/mo £29 · 1 site
50 staff ~£200/mo £29 · 1 site
80 staff ~£320/mo £58 · 2 sites
150 staff ~£600/mo £87 · 3 sites
200 staff ~£800/mo £145 · 5 sites

Per-seat figures assume a typical ~£4/user/month all-in rate (many tools sit £3–£6/user). Indicative, for illustration.

Events & catering: common questions

I use different casual crews for every event — does per-head pricing kill this?
Not with WagePilot: you are never charged per head. You can scale a crew up for a big event and down again with no change to the bill, because you pay per site/operation, never per person. That is exactly the case flat pricing is built for.
How do crews clock in when every event is at a different venue?
Use QR clock-in: print or display a code at the venue and the crew scans it to clock in and out on the day, wherever the event is. Where you do have fixed locations you can also use a GPS geofence. Either way you get accurate, timestamped hours.
Can I see the labour cost of a single event?
Yes. The live labour-cost board and per-event hours let you see what an event is costing in staff time, so you can check your quotes hold their margin and learn from each event.
