For pubs & bars

From last orders to a clean week, sorted

Late finishes, glass-collectors on cover, two bars on a Friday. WagePilot tracks who clocked out when, flags the odd ones, and gives you one tidy week to approve on Monday morning.

Edit logged: Ade's clock-out adjusted 23:08 → 23:12, “forgot to clock out, confirmed with Elin”. Visible to Ade.

  • Accurate finish times. Real clock-out times, with a grace flag if someone forgets, so late shifts are paid right.
  • Audited & dispute-proof. Every edit logged with a reason and visible to staff: disputes get a paper trail.
  • Holiday on the record. Balances and accrual tracked automatically, so "I’m owed days" becomes a number you both see.

The bits that make shift work hard

The same leaks show up week after week — and most of them only surface on the payroll run, long after you could have done anything about it. Here's where the hours and the money usually slip.

01

Midnight clock-outs

Nobody remembers the exact finish time when the shift ended at 1am.

02

Cover chaos

Shift swaps and cover by WhatsApp that never makes it onto the rota.

03

Holiday rows

Staff convinced they are owed days, with no shared record to settle it.

How WagePilot helps

The same building blocks — rota, clock-in, audited timesheets — tuned to the way Pubs & bars actually run.

  • Accurate finish times

Hire anyone you like. The bill never moves

No per-head fees means you can grow the team without watching a meter: one site stays at £29 whether you're 3 people or 25. Open another venue and it's a flat £29 more, never per person.

What you'd pay as your team grows: a typical per-seat tool vs WagePilot's flat price
Your team Typical per-seat tool WagePilot
5 staff ~£20/mo Free · 1 site
25 staff ~£100/mo £29 · 1 site
50 staff ~£200/mo £29 · 1 site
80 staff ~£320/mo £58 · 2 sites
150 staff ~£600/mo £87 · 3 sites
200 staff ~£800/mo £145 · 5 sites

Per-seat figures assume a typical ~£4/user/month all-in rate (many tools sit £3–£6/user). Indicative, for illustration.

Pubs & bars: common questions

How does WagePilot handle a clock-out after midnight?
Shifts that cross midnight are handled correctly: the hours land on the right day and at the right rate. If someone forgets to clock out, the shift is flagged for you to set the real finish time before you approve the week.
Can I run more than one bar from a single pub site?
Yes. One venue is one site, however many bars or areas it has. Rota everyone on one grid and see them on one live board. Separate venues are separate sites, each a flat £29/month on Core with unlimited staff and no limit on how many venues you run.
How does it settle holiday disputes with bar staff?
Holiday balances and accrual are tracked automatically and visible to staff in the app, including the 12.07% rule for irregular hours. "I’m owed days" becomes a figure you both see, not an argument.
