Every visit evidenced, travel time never lost

Carers on a round of short visits, clients who need to know someone came, and a minimum wage rule that counts the drive between homes. WagePilot confirms each visit at the client’s address, checks location only at clock-in and clock-out, and keeps the gaps between visits on the record.

The WagePilot staff app on shift: earnings so far, timer, Break and slide to clock out
  • A geofence per client home. Clock-in confirmed at the client’s address for each visit, with a timestamp you can show.
  • No continuous tracking. Location is read at clock-in and clock-out only. Nothing runs in the background between visits.
  • Travel time on the record. The gap between one visit ending and the next starting sits on the timesheet, so you can include it in pay.
  • Holiday in hours. Irregular-hours carers accrue at 12.07% of hours worked, shown in hours, not guessed in days.

The bits that make shift work hard

The same leaks show up week after week, and most of them only surface on the payroll run, long after you could have done anything about it. Here's where the hours and the money usually slip.

01

Travel time underpaid

Paying per visit or per contact hour can leave carers below NMW once the travel between homes is counted.

02

Visits hard to evidence

Families and commissioners ask whether a call happened, and when, and paper sheets do not prove it.

03

Carers resist tracking

Staff (rightly) refuse apps that follow them around all day.

Hire anyone you like. The bill never moves

No per-head fees means you can grow the team without watching a meter: one site stays at £29 whether you're 3 people or 25. Open another venue and it's a flat £29 more, never per person.

What you'd pay as your team grows: a typical per-seat tool vs WagePilot's flat price
Your team Typical per-seat tool WagePilot
3 staff ~£12/mo Free · 1 site
25 staff ~£100/mo £29 · 1 site
50 staff ~£200/mo £29 · 1 site
80 staff ~£320/mo £58 · 2 sites
150 staff ~£600/mo £87 · 3 sites
200 staff ~£800/mo £145 · 5 sites

Per-seat figures assume a typical ~£4/user/month all-in rate (many tools sit £3–£6/user). Indicative, for illustration.

One carer’s morning round, checked against NMW

Six visits, each clocked in and out at the client’s home. Pay is £14.00 per contact hour, with no separate travel pay.

Contact time (6 visits, clocked)
4 hours 30 minutes
Travel between visits (gaps on the timesheet)
1 hour 15 minutes
Working time for NMW (contact + travel)
5.75 hours
Minimum due at £12.71 (age 21+)
£73.08
Paid: 4.5 contact hours × £14.00
£63.00
Shortfall if travel is ignored
£10.08 for the round

NMW is assessed over the whole pay reference period, not one round, so the shortfall may be offset by other work. Illustrative figures. WagePilot produces estimates from clocked hours for your payroll; it does not run payroll, tax, NI or payslips. Minimum wage rates shown are the April 2026 rates and change each April.

Home care: common questions

Does travel time between care visits count for the minimum wage?
Yes. GOV.UK guidance says time spent travelling from one work assignment to another counts as working time for minimum wage, and uses a care worker driving between clients as the example. Travel from home to the first visit, and from the last visit home, generally does not count. Average pay across the pay reference period must cover visit time plus travel time.
Does WagePilot calculate travel pay automatically?
No, and we would rather say so. WagePilot records the clock-in and clock-out for each visit, so the travel gaps between visits are visible on the timesheet. You can add the travel time as a timesheet entry so the estimate and the NMW check include it, then pay it through your payroll. It does not calculate mileage.
Does the app track carers between visits?
No. Location is checked only at the moment a carer clocks in or out, against the client’s address. It never runs in the background and never follows anyone between homes, which is what carers usually object to and what UK GDPR data minimisation expects.
Is this an electronic call monitoring (ECM) system for my local authority?
It gives you timestamped, on-site visit records, which is the core of call monitoring. Local authorities set their own ECM and reporting requirements, so check your contract; WagePilot does not integrate with commissioner portals or care-planning systems.
How does holiday work for zero-hours carers?
For leave years starting after 31 March 2024, GOV.UK says irregular-hours workers’ entitlement is 12.07% of the hours worked in each pay period. WagePilot accrues that from clocked hours, shows it in hours, and lets carers request leave in the app.
How is home care priced if every client home has a geofence?
WagePilot is priced per active site and never per carer. Each client home you set up with its own geofence counts as a site while it is active, at £29 a month each on Core, and a site you switch off stops being billed. For a long client list that adds up, so talk to us first: we will help you set it up the cheapest honest way.
