Every department on one rota, every hour paid right

Housekeeping on room counts, a front desk that never closes, a kitchen with split shifts and a night porter on his own until 7am. WagePilot puts every department on one rota and one clock, flags night and rest-break problems, and keeps live-in staff above the minimum wage.

The Rota: a week of shifts per person with hours, wage cost against budget and clash warnings
  • One rota, every department. Roles and role rates for housekeeping, reception, kitchen and porters on one grid, with one live cost board.
  • Night and rest checks. Shifts that break the 11-hour daily rest, miss a 20-minute break or push the 48-hour average are flagged before you approve.
  • Live-in pay tracked. Record accommodation and other deductions with effective dates, so the NMW check counts only what the rules allow.
  • Kiosk at the staff entrance. A shared tablet with PIN or photo clock-in for back-of-house staff who do not want the app on their phone.

The bits that make shift work hard

The same leaks show up week after week, and most of them only surface on the payroll run, long after you could have done anything about it. Here's where the hours and the money usually slip.

01

Four departments, four rotas

Housekeeping, front desk, kitchen and bar each keep their own spreadsheet, so nobody sees the whole wage bill.

02

Night shifts nobody checks

Night porters and late receptionists drift past the night-work limits without anyone noticing.

03

Live-in staff and the minimum wage

Charging for staff accommodation can quietly pull pay below NMW if the offset is not tracked.

Hire anyone you like. The bill never moves

No per-head fees means you can grow the team without watching a meter: one site stays at £29 whether you're 3 people or 25. Open another venue and it's a flat £29 more, never per person.

What you'd pay as your team grows: a typical per-seat tool vs WagePilot's flat price
Your team Typical per-seat tool WagePilot
3 staff ~£12/mo Free · 1 site
25 staff ~£100/mo £29 · 1 site
50 staff ~£200/mo £29 · 1 site
80 staff ~£320/mo £58 · 2 sites
150 staff ~£600/mo £87 · 3 sites
200 staff ~£800/mo £145 · 5 sites

Per-seat figures assume a typical ~£4/user/month all-in rate (many tools sit £3–£6/user). Indicative, for illustration.

Hotels: common questions

Can I rota housekeeping, front desk and kitchen on one system?
Yes. One hotel is one site. Give each person a role (housekeeper, receptionist, chef, porter) with its own pay rate, build the week on one grid and publish to phones. The live board shows what every department is costing right now, so the whole wage bill is in one place.
How does WagePilot handle night porters and night work?
Shifts that cross midnight land on the right day at the right rate, and night premiums can be set per site or role. Under GOV.UK guidance, staff who regularly work at least 3 hours in the night period (11pm to 6am by default) are night workers and must not average more than 8 hours in 24. WagePilot shows the hours so you can check that; it flags 11-hour rest gaps, missing breaks and the 48-hour average week.
We provide accommodation for live-in staff. How does that affect minimum wage?
Only accommodation can count towards minimum wage pay, and only up to the offset: £11.10 a day or £77.70 a week from April 2026, per GOV.UK. WagePilot lets you record accommodation and other deductions (uniform, meals, tools) with effective dates, so its NMW check reflects what the rules allow. It is an estimate for your payroll, not a payslip.
Do housekeepers clock in on their own phones?
They can, with a geofence around the hotel so the clock-in is confirmed on-site, checked only at clock-in and clock-out and never tracked continuously. If staff prefer, put a kiosk tablet at the staff entrance with PIN or photo clock-in, or a QR poster in the linen room. All three ways are on every plan.
How do I work out holiday for casual banqueting and seasonal staff?
For irregular-hours and part-year workers, GOV.UK says entitlement is 12.07% of the hours worked in each pay period (for leave years starting after 31 March 2024). WagePilot accrues that automatically from clocked hours and shows it in hours, so casual staff see the same balance you do.
What does WagePilot cost for a hotel?
A hotel is one site. A small property with up to 3 staff is free; otherwise it is £29 a month on Core with unlimited staff, so taking on summer housekeepers never moves the bill. A second hotel is another £29. Pro at £59 a site adds cross-site analytics and rota automation if you want them.
