How the trial card gate works, how your bill changes when you add a site or staff, switching plans and cycles, and managing your card — all via Stripe.
Billing is where you see your plan, your next bill, and manage your card. Payments are handled entirely by Stripe — WagePilot never stores your full card details.
The trial card gate
If you are on a paid-plan trial without a card on file, an unmissable prompt asks you to add one before you continue. This is a one-time step; you are not charged until the trial ends, and the free Solo plan never sees this prompt. Adding a card takes you to Stripe’s secure checkout and straight back.
How your bill changes when you grow
This is the question most owners ask, so here it is plainly. Two things can change a bill — adding a site and, very rarely, a very large jump in active staff — and they behave differently:
- Adding a site on Growth
- Just add it. Each extra site (2nd to 9th) adds £8/mo to your bill automatically and is prorated — no upgrade step.
- Adding a site on Solo or Starter
- These plans are single-site, so you are prompted to upgrade to Growth before the second site is created. The bill then follows Growth’s per-site rule.
- Going past 9 sites
- At the Growth ceiling, adding another site prompts an upgrade to Scale, which is built for 10+ venues.
- Adding staff
- Free on every paid plan. Only the free Solo tier caps headcount (10), which is itself a prompt to move to Starter.
Changing plan or cycle
- Switch between monthly and annual — annual gives you two months free.
- Move up or down the ladder; changes are prorated so you only pay the difference.
- Manage your card, see invoices and cancel anytime through the Stripe customer portal.
