What WagePilot is

A plain-English tour of WagePilot: geofenced clock-in, rotas, holiday, audited timesheets and a live view of what your floor is costing — built for small UK businesses.

WagePilot is a staff time-and-attendance app for small UK businesses — cafés, pubs, restaurants, holiday lets, salons, retail and site teams, roughly 2 to 50 staff. It does four jobs: it lets staff clock in from their own phone with a location check, it lets you build and publish rotas, it tracks holiday and audited timesheets, and it shows you what your floor is costing right now. When the week is done, it exports approved hours to whatever payroll you already run.

It deliberately does not run payroll. WagePilot hands clean, approved hours to Xero, Sage, BrightPay, QuickBooks and others; your pay run stays exactly where it is. See Payroll export.

The two apps

There are two faces to WagePilot, and it helps to keep them straight from the start.

The owner/manager app
What this help centre mostly documents. The dashboard, rota builder, live board, reports, settings and billing. You reach it at app.wagepilot.co.uk and sign in with your email.
The employee app
A stripped-back phone view your staff use to clock in, see their shifts, check their holiday balance and request leave. It is a progressive web app (PWA) — no app-store download — so staff just open a link and add it to their home screen.

How the pieces fit together

Everything in WagePilot flows from one event — a clock-in — to one output: approved hours your payroll can read.

Clock-in → live cost → timesheet → approval → payroll export. One audited trail end to end.
  • A staff member taps clock in; WagePilot checks they are on-site and starts counting.
  • Their time and pay rate feed the live board so you see the cost building during the shift.
  • At week-end those clock events become a timesheet to review, flag and approve.
  • Approved hours export to payroll as a CSV — and stay in an audited history for your records.

Common questions

Does WagePilot run payroll?
No, and that is deliberate. WagePilot tracks time, attendance and live labour cost, then exports approved hours as a CSV to wherever you already run payroll (Xero, Sage, BrightPay and others). You keep your payroll setup; we just hand it clean, approved hours.
Do staff have to download an app?
No. WagePilot is a progressive web app, so staff open a link on their own phone and can add it to the home screen. There is no app-store download and nothing to install.
