Branding & white-label

Put your logo, colours, fonts, theme and corner style on the employee app and kiosk, with a live preview — and on Scale, fully white-label it.

Open in WagePilot Branding on Pro and up; full white-label on Scale

Branding makes the staff-facing app feel like yours, not ours. Set your name, logo, colours, fonts, theme and corners on the left, and a live phone-and-kiosk preview on the right updates as you go. When staff open something that looks like your business, adoption climbs. Everything here is edited as a draft — nothing reaches your team until you press Save.

Standard WagePilot vs a branded employee app: your name, your colour, your corner style — previewed before you publish.

Turn branding on

  1. 1

    Flip the master switch

The Use custom branding toggle at the top is the on/off for the whole thing. Off keeps the standard WagePilot look no matter what you design below; on applies your branding to the employee app and kiosk.

  2. 2

    Design everything below

Work through Identity, Colours, Typography, Appearance and Navigation. The preview reflects each change instantly, whether the master switch is on or off.

  3. 3

    Save to publish

Press Save (top right, or the inline Save in the preview status strip). Until you save, the strip reads “Unsaved changes — Save to apply”.

The Identity card

Display name
Shown in the employee app header and on the kiosk. Up to 60 characters. Leave blank to fall back to your organisation name.
Logo — Upload / Replace / Remove
Upload opens a file picker (button reads Replace once one is set); Remove clears it back to a monogram built from your name.
Logo shape
How the logo or monogram tile is cropped: Rounded, Square or Circle.
Kiosk welcome
The heading on the shared-tablet roster screen. Up to 60 characters. Blank shows the default “Tap your name to clock in or out”.

Colours

Start from a preset — Instrument mint, Midnight, Sunset, Berry, Forest, Slate, Ember, Royal, plus the dark-surface Carbon and Noir — then fine-tune any of the five colours. Each colour has a swatch (click it for the system colour picker) and a hex box beside it; an invalid hex outlines the box in red and is ignored until it is valid.

The five colours you set

Accent
Buttons, highlights and the live “on the clock” readout.
Secondary
Clock-out, off-shift states and background washes.
Ink
Headings and strong text.
Background
The app background.
Cards
Panels and cards.

Typography

Pick one of eight font pairings — Instrument, Humanist, Geometric, Rounded, Editorial, Classic, Technical and Mono + sans. Each tile previews its own “Ag”. The fonts are all web-safe or already loaded, so the app still renders correctly offline.

Appearance

The Appearance card

Theme
Auto (match the Background colour you picked), Light (always light) or Dark (always dark).
Corner style
Sharp, Soft, Round or Pill — the radius on every card and control.
Card finish
Elevated (soft-shadowed cards), Flat (hairline only) or Glass (frosted, translucent).
Energy
Calm, Balanced or Vivid — how loud the ambient glows and washes behind the app read.
App background
Aura (accent glow over a dot grid), Flat, Mesh (two-tone wash), Rays (diagonal light) or Spotlight (glow from the top).

How the phone frame looks

Bottom navigation
Flat bar (a solid edge-to-edge tab bar, the native default) or Floating dock (a frosted pill hovering off the bottom edge).
Header
Standard (roomy, with a greeting) or Compact (slimmer, giving content more room).

The live preview

  • Switch the preview between App and Kiosk with the toggle above it — check your logo on the kiosk’s darker screen as well as the light app.
  • The status strip is the honest truth about what your team sees right now: *Preview only* (plan too low), *Off* (master switch off), *Unsaved changes — Save to apply*, or *Live on your team’s app & kiosk*.
  • That strip carries a shortcut button — Turn on when branding is off, or Save when you have unsaved changes — so you can apply without scrolling back up.

White-label (Scale)

On Scale, the White-label card lets you toggle Remove “Powered by WagePilot” — hiding the WagePilot logo and credit across the employee app and kiosk, so staff only ever see your business. On lower plans the toggle is disabled with a note pointing at the upgrade.

Common questions

Why can I design branding but not apply it?
The designer is open on every plan so you can see exactly what you would get. Applying it to your team’s app and kiosk needs the Pro plan or higher; the top-right button will read “Upgrade” until then, and the preview strip says “Preview only”.
My logo won’t upload.
It must be a PNG, JPG, WebP or GIF under 180 KB. SVG files are rejected on purpose. If your file is a large PNG, export a smaller one or convert it to WebP and try again.
I changed colours but staff still see the old look.
Changes are a draft until you press Save, and branding only applies when the master “Use custom branding” switch is on and your plan allows it. The preview status strip tells you which of these is holding it back.
