Timesheets & payroll

Exceptions

Late starts, no-shows, missed breaks, working-time limits and pay problems across the team, each one acknowledged or dismissed with a note.

Exceptions (under Checks in the sidebar) lists everything that looks wrong across the team for a period: attendance, working time and pay. Pick the period at the top; every figure follows it.

Finding what matters

  • Switch between All, Attendance, Working time and Pay, or choose one Exception type (each shows its count).
  • The review filter shows Needs attention (the default), Not reviewed, Acknowledged, Dismissed or Everything.
  • Search by person or issue.
  • Tiles count late starts and no-shows (when you use the rota), working-time issues (breaks, rest, 48 hours, young workers) and pay issues (approvals, rates, clock-outs).

Each row shows the person, the issue, when it happened, the detail and a link to where it is fixed. Every issue is marked Blocks payroll, Check or Note.

What is checked

ExceptionWhat it means
LateClocked in after the rota start plus the grace window.
No-showA published rota shift with no clock-in and no approved leave.
Break too short20 minutes rest after 6 hours, or 30 after 4.5 hours for under-18s (Working Time Regulations 1998 reg 12).
Under 11h restLess than 11 hours rest between working days (12 for under-18s).
Over 48h averageAveraging over 48 hours a week across the 17-week reference period with no opt-out on file.
Over 48h this weekA single week over 48 hours. Lawful if the average stays under 48, but worth watching.
Missing clock-outStill clocked in long after the shift. Blocks payroll.
Not approvedPayroll export only pays approved shifts. Blocks payroll.
Below minimum wageThe rate on a shift, or pay across the pay reference period, is under the minimum for their age band. Blocks payroll.
No pay rateAn hourly worker with a £0 rate. Blocks payroll.
Very long shiftOver 16 hours, often a forgotten clock-out closed late.
Leave undecidedA leave request in the period is still waiting, and holiday pay depends on it.

Under-18 and school-age checks, apprentice-rate and sleep-in checks also appear here: see Young and school-age workers and Sleep-in shifts.

Acknowledge or dismiss with a note

  1. 01

    Open the review

Use the review action on a row. The dialog names the issue, the person and when it happened.

  2. 02

    Write a note

A Note of at least 3 characters is required, for example “Agreed with the team leader, cover arranged”. It is kept with who and when in the activity log.

  3. 03

    Choose

Acknowledge means seen and handled outside WagePilot: it still counts, because it is still true. Dismiss means not a real problem: it drops out of the counts but stays under the Dismissed filter. Reopen undoes either.

Common questions

What is the difference between acknowledging and dismissing?
Acknowledge when the issue is real but you have dealt with it outside WagePilot: it stays in the counts. Dismiss when it is not a real problem: it leaves the counts but is kept under the Dismissed filter. Both need a note.
