Getting started
Set up in an afternoon
The five steps from a fresh account to staff clocking in: add a site and geofence, add people and pay rates, build the first rota and publish.
Most owners are live the same afternoon. There is no hardware to buy and nothing to migrate from a server — WagePilot runs in the browser. Here is the whole path.
- 1
Add your first site
Go to Locations, search your address, and drop a pin on the map. Set the geofence radius — the circle staff must be inside to clock in. See Locations & geofences.
- 2
Set your pay rules (optional but worth it)
Under Pay & overtime, set your default hourly rates, break rules and any overtime policy. You can also do this per person later.
- 3
Add your team
In People, add each staff member with their role, site and pay rate. Send each one an invite — they redeem a code to set up their phone app.
- 4
Build the first rota
Open Rota, drag shifts onto the week grid (or copy a typical week as a template), then Publish. Staff are notified instantly.
- 5
Staff clock in
On their first shift, staff open the app, slide to clock in, and the live board lights up. You are now running.
What you need before you start
- The address of each site (for the map pin and geofence).
- Each staff member's name, role and hourly rate.
- A phone for each staff member — their own is fine; that is the point.
Common questions
How long does setup take, and do staff need to install anything?
Can I import my existing rota and staff?
