Records, retention and evidence pack

Build a printable evidence pack for an HMRC wage enquiry or a dispute, download a monthly compliance pack, and export all your organisation's data.

WagePilot keeps the time and pay records you are expected to hold, such as hours worked, rates, breaks, edits and approvals, and gives you ways to produce them when asked.

Build a dispute evidence pack

  1. 01

    Open Reports

Scroll to Dispute evidence pack and click Build evidence pack.

  2. 02

    Choose the person and dates

Pick the Team member, then From and To. Records go back 6 years at most.

  3. 03

    Click Build and print

A print-ready document opens. Use your browser's print dialog to save it as a PDF.

The Evidence pack dialog with Team member, From and To fields, a list of what the pack contains and a Build and print button
Reports > Dispute evidence pack: one person, any range in the last 6 years.

The pack covers hours, breaks and pay for each pay reference period, the minimum wage check per period with the working shown, rate history, holiday taken and accrued, other leave, every edit with who made it and the reason, correction requests and decisions, and when each pay period was closed or reopened, and why.

Monthly compliance evidence pack

Also on Reports, Compliance evidence pack summarises this calendar month: the Minimum wage check, Docs compliant, Working-time flags and Audited changes. Click Download pack (JSON) or Download CSV.

Retention and exporting everything

  • Settings > Data & privacy > How long we keep records lists the statutory minimums that apply after someone leaves, for example 6 years for National Minimum Wage records, 3 years for payroll and tronc records and 2 years for working time records.
  • Under Export everything, click Download organisation data for a machine-readable copy of all your organisation's data.
  • If you ever close your account, you are asked to Download full records archive first, because pay records must be kept for 6 years.
  • Checklist records have their own Print records button on the Checklists page.
