Plans & free tier

The four plans, the "flat per site, never per head" model, why Free is the trial, annual billing, and what each plan unlocks.

WagePilot is priced flat per site, and never per head. The thing that moves your bill is opening another venue, never hiring another person. That is the opposite of per-seat scheduling tools, where every hire costs more.

Free, Core, Pro and Scale. Free is free forever for one small site; every paid rung is priced per site, never per head.

The four plans

Free: £0 forever
One site, up to 5 staff, no card ever. Geofenced GPS, QR and shared-tablet kiosk clock-in, rota, audited timesheets, UK holiday and Working Time Regs, NMW/NLW checks, the live cost board for today, the employee app and a raw CSV export of your hours.
Core: £29 per site / month
Unlimited sites and unlimited staff. Nothing you count is capped. Everything in Free (rota, clock-in, timesheets, holiday, WTR, NMW, the live board, cover and swaps, availability) with the limits taken off, plus payroll-formatted export for Xero, Sage, BrightPay and QuickBooks, team messages, tips and tronc distribution, and email support.
Pro: £59 per site / month
Unlimited sites and unlimited staff too, exactly as Core. You move up for depth, never for room: cross-site analytics comparing cost and hours site by site, rota autofill with coverage targets and a wage-percentage budget guardrail, HR documents (right to work, contracts, certificates), custom branding and priority support.
Scale: from £299 / month
For 10+ sites, or when you need white-label and an SLA. Everything in Pro plus group pricing, white-label, dedicated onboarding and an account manager. Priced by agreement: talk to us.

Free is the trial

There is no countdown and no card. One small site is free forever, and that is your trial. Explore the core product for as long as you like, then move up when you open a second site, take on a sixth member of staff, or want one of the features that start on Core: payroll-formatted export, team messages or tips and tronc. You are only charged when you make that move. Clocking in is never one of the reasons: geofenced GPS and QR clock-in are on every plan, Free included.

Monthly or annual

Every paid plan can be billed monthly or annual. Annual is charged for ten months and gives you two months free, and the Billing page shows both figures side by side (for example, an annual total and its ≈ £x/mo equivalent) so you can see the saving before you commit. Core is £29 a site monthly or £290 a site a year; Pro is £59 a site monthly or £590 a site a year. You choose your cycle when you first subscribe, or when you switch plan. There is no self-serve control for re-billing the plan you are already on: to move an existing subscription between monthly and annual, email info@whealbit.co.uk and we will move it for you.

Common questions

How much does WagePilot cost?
One site with up to 5 staff is free forever (Free), with no card, ever. Core is a flat £29 per site a month with unlimited sites and unlimited staff, so 2 sites is £58, 3 sites is £87, 5 sites is £145 and 10 sites is £290. Pro is the same shape at £59 a site: 2 sites is £118, 3 sites is £177, 4 sites is £236. Adding people never costs more on any plan, and no paid plan caps how many sites you run, so the only thing that moves your price is opening another venue, which simply adds one more flat site charge at your plan’s rate. Pro is bought for its features (cross-site analytics, rota automation, HR documents, branding), never because you have grown. Ten or more sites, or a white-label app and an SLA, is Scale, from £299 a month.
Is there a contract or can I cancel anytime?
No contract and no lock-in. WagePilot is month-to-month: start free forever with no card, move up a plan when you grow, and cancel anytime from your account. Your exported timesheets remain yours.
Is annual billing cheaper?
Yes. Annual is charged for ten months, so you get two months free versus paying monthly: Core is £290 a site a year instead of £348, and Pro is £590 a site a year instead of £708. You pick your cycle when you first subscribe or when you switch plan. To move a subscription you already have between monthly and annual, email info@whealbit.co.uk and we will move it for you.
